Converting Your Locally Stored Gmail Emails to PST

If you've backed up your Gmail emails using the IMAP protocol in Microsoft Outlook, the data is typically stored locally as an Offline Outlook Data File (.OST). To archive this data or transfer it to another computer, you must convert it to the portable Personal Storage Table (.PST) format.
The good news is, you can do this easily using Outlook’s built-in Import/Export feature!
1. The Critical Setup: Gmail IMAP in Outlook
First, ensure your Gmail account is set up in your Outlook desktop application using IMAP. This allows Outlook to sync and store a local copy (in the OST file) of all your emails, labels, and folder structures. Wait until all folders show they are completely synchronized.
2. Exporting to the PST Format
Once the sync is complete, you can initiate the conversion:
1. Open Microsoft Outlook.
2. Go to the File tab.
3. Click Open & Export and select Import/Export.
4. In the wizard, choose Export to a file, then click Next.
5. Select Outlook Data File (.pst) and click Next.
6. Select the top-level of your Gmail account (your email address) in the folder list. Make sure to check the box for Include subfolders.
7. Click Next, then Browse to choose a safe location for your new PST file. Give it a clear name like Gmail_Archive_2025.pst.
8. Click Finish.
Outlook will process the data and save all your locally stored Gmail emails into the standalone PST archive file, ready for backup or import elsewhere! This is the most reliable way to convert your synchronized data.
Export From MBOX Format to PST
Moving emails from a Google Takeout MBOX file into Microsoft Outlook's PST format is not direct and requires an intermediary application.
1. Use an Email Client: Install a free MBOX-compatible client like Mozilla Thunderbird.
2. Import MBOX: Install the ImportExportTools NG add-on in Thunderbird and use it to import your Google Takeout MBOX file into a local folder.
3. Transfer to Outlook: Configure a temporary IMAP account (e.g., a spare Gmail or Outlook.com account) in both Thunderbird and Outlook.
4. Drag and Drop: Drag the imported emails from the local Thunderbird folder to the IMAP account folder. This syncs them to Outlook.
5. Export to PST: In Outlook, use File > Open & Export > Import/Export to export the emails from the IMAP account into a final PST file.
Alternatively, use a dedicated, simple Convert MBOX to PST tool for a faster, direct process.
